Job Title:
 APS4 Program Administration Officer
Duration: 12 months with possible extension
Location:  ACT, NSW, QLD

The APS4 Program Administration Officer is accountable under general direction to perform moderately complex work to provide a range of administration, corporate and executive support activities across a Branch within the client. This may relate to booking travel, calendar and email management, and coordination of program consultation activities.
The APS4 Program Administration Officer is accountable for organising and prioritising their workflow and making decisions within defined parameters relating to their areas of responsibility. They will apply a sound knowledge of the Branch’s operating requirements, procedures and guidelines to support the senior executive officer and senior managers.
They will be required to undertake some research and analysis activities; communicating with and providing advice to a range of internal and external stakeholders to progress work outcomes on behalf of the senior executive officer in the Branch.

  • Coordinate the work flow of a small team and/or more complex administration tasks.
  • Undertake procedural, clerical, administrative support or operational tasks including some research and analysis activities.
  • Coach employees, identify training needs, provide quality assurance of work and the provision of constructive feedback on performance.
  • Monitor budgets, review and report on expenditure.

  1. Job Context and Environment
  • Have a sound general knowledge of the role and functions of the agency and an understanding of how these relate to a specific work area.
  • Have understanding of the impact of the work area on strategic, political or operational outcomes for the agency/program.
  • Have a good understanding of relevant legislation and policy frameworks.
 
  1. Independence and decision-making
  • Make decisions with some autonomy that relate to role and area of speciality. Supervision is generally limited to work of moderate complexity or difficulty.
  • Make decisions within defined parameters relating to the area of responsibility that impact on the work area or specific function, but the impact on agency operations and resources is limited.
  • Apply judgement, knowledge and limited discretion in interpreting and applying legislation, instructions, guidelines and procedures.
  • Identify issues and contribute to the resolution of issues and problems.

  1. Stakeholder Management
  • Communicate with internal and external stakeholders, on Branch administration, corporate or executive support issues to ensure the relevant information is available to the senior executive and senior managers when required.
  • Liaise with internal and external stakeholders on moderately complex operational and administrative matters.
  • Build rapport and maintain stakeholder relationships within defined parameters.
  • Represent the work area at internal and external meetings and conferences.
 
 
Essential requirements
Ability to obtain and maintain a Baseline security clearance with the ability to obtain and maintain a higher clearance if required by the Agency
Ability to obtain and maintain national police check

Due to security clearance requirements for this role, candidates must be Australian citizens and ability to obtain Baseline  security clearance.
