Job Title: Program Scheduler

The Program Scheduler will contribute to the successful development, preparation and maintenance of the Indigo Program’s master schedule and lead the operationalisation of the management of program dependencies. Activities will include monitoring, tracking and evaluation of program activities, identifying risks and developing and facilitating intervention procedures where required, and working with stakeholders across the Indigo Program to maintain, monitor and provide analysis and reporting on the master schedule.
The Program Scheduler will also be responsible for the development, preparation and maintenance of high-quality program documentation including communication artefacts, briefings, decision papers, presentations, plans and reporting artefacts.
The Program Scheduler will have excellent relationship management skills, forming and maintaining positive working relationships across the Enterprise Transformation Group and the agency.
Key duties and responsibilities
The Program Scheduler will be responsible for, but not limited to:
- Contribute to the development, preparation and maintenance of the program schedule.
- Support and oversee schedules, plans, task coordination and timeline/critical path monitoring including scheduling of program activities in consultation with stakeholders across the Indigo Program.
- Work with stakeholders across the Indigo Program to maintain, monitor and provide analysis and reporting on the master program schedule.
- Manage the operationalisation and maintenance of program dependencies, via the appropriate forums and governance processes.
- Support the strategic uplift of program scheduling and support the continuous improvement of reporting artefacts to meet the needs of the program’s stakeholders.
- Support detailed program reporting activities, including preparing and presenting a range of high-quality and precise communication material, including status reports, executive briefings, committee papers, presentations, governance frameworks, and external reporting obligations.
- Conduct evaluation of program activity progress, identifying risks and developing and facilitating intervention procedures where required.
- Support detailed program reporting activities.
- Develop and maintain relationships with key internal stakeholders, including collaboration to identify and champion opportunities to mature program planning, reporting, governance and assurance practices for the program.
- Provide analysis on complex issues and contribute to the planning, preparation and co-ordination of policy formulation and/or program management. Decisions will be made using good judgement, expertise and knowledge, governed by legislation, regulations, best practice principles or relevant operating instructions and procedures.
- Perform additional duties or assume responsibility of functions as directed from time to time.
The Program Planning and Reporting team oversees the development of Program-level schedules, plans and timelines to support the effective and efficient functioning of the Program. Working across the program, this includes the preparation of high-level documentation, maintaining and monitoring progress against the Program schedule, reporting on program achievements, identifying risks, and providing analysis and advice in developing intervention procedures or mitigation measures where required. In addition, the team is responsible for the planning and preparation of Program Increment planning and showcase ceremonies for Agile Delivery Teams (ADTs). The team also manages and coordinates the Solution Management Team (SMT), which is responsible for the management of value streams, and their component solutions, over the life of the Indigo Program.

Essential criteria
- Demonstrated experience managing schedules within large-scale ICT projects or programs, using an Agile methodology.
- Experience and skilled in using Microsoft Project for scheduling.
- Experience and skilled in using Microsoft Azure DevOps.
- Excellent written and verbal communication skills, and the ability to effectively communicate information to a range of audiences. Excellent teamwork skills, with the ability to work with colleagues to achieve outcomes.
- Strong attention to detail and analysis and investigative skills, and the ability to gather information from a variety of sources, explore new ideas, identify opportunities for continuous improvement and any critical gaps. Proven ability to make sensitive and complex decisions using professional judgement within legislative parameters and delegated authority.
- Experience effectively managing competing priorities, with an ability to remain calm under pressure and respond flexibly to change and uncertainty. Proven ability to manage sensitive and confidential information and to comply with relevant legislation and frameworks.
- Relevant tertiary qualifications in a related field.
