About the Program:

Earlier this year, the Premier released our new housing plan, Homes for Queenslanders (HfQ). To support the HfQ plan. To support the success of this important community initiative, The Service Modernisation Program (SMP) will deliver a comprehensive program of work which will:

  • Improve the way vulnerable Queenslanders interact with our frontline services;
  • Provide a single source of truth for data and;
  • Provide us with the agility to respond to the changing needs of Queenslanders through reducing the complexity of our ICT ecosystem.

About the Role:

The Program Support Officer will report directly to the Program Director and will be responsible for the overall delivery of program support and related artefacts for the SMP.

  • Preparing concise and well written reports, presentations, briefing notes, and correspondence in accordance with departmental standards and formats.
  • Coordinating and supporting meetings, which may include: Preparing, collating, and disseminating consistently high-quality documents in a timely manner. Scheduling meetings and preparing rooms, developing agendas, presentation materials, minutes, and reports (board and program level). Providing other secretariat support as required, to support the effectiveness of these meetings (including board meeting support).
  • Creating and managing Board and Program reporting and actions, and related tasks.
  • Support the management and coordination of program related tasks including coordination of recruitment activities, coordination of forward forecast inputs and development of processes to support these tasks.
  • The role will also coordinate the collation of all program and project artefacts in support of QGCDG internal or external audits, gated assurance and health check requirements.
  • Review funding requests and associated business case lite documentation to ensure standards compliance.
  • Management and maintenance of all key program registers.
  • Development, coordination and maintenance of Program information management.
  • Organisation and coordination of all travel related tasks.
  • Development of presentations to support delivery of the Service Modernisation Program.
  • Work collaboratively across multi-functional teams whilst effectively managing uncertainty and change.
  • Complete additional activities and tasks as required by the Program Director.

Qualifications and Skills:

  • Tertiary qualifications in a relevant field (e.g., Business Administration, Information Technology, or Project Management).
  • Proven experience in program support roles, preferably within government or large organisations.
  • Familiarity with project management methods and tools. Ability to tailor processes according to standards and evaluate their effectiveness. Eg. Agile methods
  • Demonstrated program assurance and governance experience
  • Proficiency in program planning, scheduling, retporting and tracking using recommended tools.
  • Experience providing administrative services to project boards and quality review meetings.
  • Ability to maintain financial records, assist with budgeting, and analyse financial data related to projects.
  • Expertise using MS Project full version
  • Expertise using MS Office especially MS Teams and PowerPoint at advanced level
